A finance reporting cycle combines data preparation, reconciliation, analysis and approval. Automating the sequence is useful only when the result retains a clear relationship to the source and the reviewer can see which checks have passed.
This example workflow describes a monthly management pack using ledger and supporting operational data. It identifies the inputs and controls to agree when discussing reporting requirements with Covorg. The account mappings, calculation rules and review responsibilities would be agreed with the organisation’s finance team.
Establish the reporting population
Identify the reporting period, included entities, source systems and data cutoff. Confirm that expected files or extracts have arrived before treating the period as complete. Keep source totals and delivery identifiers so the input can be reconciled independently of the report calculations.
Retain the difference between transaction date and posting period. A late posting can legitimately affect the management view after an initial extract. Define whether such changes reopen the current edition or appear in a later adjustment, and preserve the original published state.
Validate and reconcile before aggregation
Check required account, entity, currency and period fields. Verify record identity and account mappings, then compare accepted records with source control totals. An unrecognised account should create a review item rather than disappear into a generic category without visibility.
| Control | Evidence | Publication condition |
|---|---|---|
| Delivery completeness | Expected and received source inputs | All required inputs accounted for |
| Record reconciliation | Accepted, rejected and source counts | Every difference explained |
| Amount reconciliation | Source and transformed totals | Agreed checks satisfied |
| Mapping coverage | Unmapped accounts and entities | Material gaps resolved |
| Review state | Owner and approval record | Required reviewer has approved |
Calculate from an approved management model
The following example query aggregates a signed management amount by entity and account group. It assumes the source has already been validated, mapped and converted according to approved rules. It is not an accounting policy or a complete reporting implementation.
Keep the metric version, selected period and execution identifier with the result. When comparing actuals with a plan, use the relevant plan edition and equivalent organisational scope. Preserve both the absolute movement and the chosen relative comparison rather than allowing a percentage alone to obscure scale.
SELECT
entity_id,
account_group,
SUM(signed_amount) AS period_movement
FROM approved_management_ledger
WHERE reporting_period = :reporting_period
GROUP BY entity_id, account_group;Review explanations and publish an identifiable edition
Prepare commentary from the calculated measures and their supporting breakdowns. Each explanation should distinguish observed movement from a proposed cause. If the available evidence only identifies a department or category contributing to a variance, frame the cause as a question for review.
Publish after the required controls and approvals are satisfied. Retain the report edition, dataset observation boundary, definition versions and unresolved noncritical notes. Apply access rules to the document and any downloadable detail, then record subsequent corrections as identifiable changes.
Example reporting sequence
- 01
Open period
Confirm reporting scope, calendar, sources and responsible reviewers.
- 02
Validate inputs
Check deliveries, account mappings and reconciliation evidence.
- 03
Prepare analysis
Calculate approved measures and investigate material movements.
- 04
Approve edition
Review explanations and publish with a stable data cutoff.
- 05
Track corrections
Associate later changes with the affected report and source records.
Design considerations
- Agree a clear owner for every reconciliation exception.
- Retain the approved plan or forecast edition used in comparisons.
- Define restatement rules and access to detailed financial records before publication.
